Billing
Billing in Loma covers everything between completing a job and getting paid for it. Once your technicians finish work, you need to turn that completed work into invoices, collect payment, and keep track of what’s owed. Loma handles this through the Invoices & Transactions section in the main navigation, plus per-customer billing settings on each customer’s Billing tab.
Loma comes ready to bill your customers with minimal setup. New customers default to Central Billing with Net 30 payment terms, and COD is enabled so your technicians can collect payment in the field. The one thing you do need to set before billing is your company’s default tax rate in Settings > Tax. Once that’s in place, everything else works out of the box.
How billing is organized
The Invoices & Transactions section has five tabs:
| Tab | What it does |
|---|---|
| Invoices | Where you’ll spend most of your time. Shows summary cards for Total Outstanding, This Month’s revenue, and Overdue count, followed by a searchable, filterable list of all invoices across your customers. |
| Transactions | Logs every financial event: payments received, refunds issued, and credits applied. Think of it as the running ledger of money in and money out. |
| Memos | Create and manage credit memos and debit memos, which adjust what a customer owes outside of the normal invoicing flow. |
| Cash Reconciliation | For businesses whose technicians collect cash in the field. Track cash floats, collections, and end-of-day reconciliation. |
| Reports | An accounting export you can download and upload into your accounting software. Includes Master Data (customers, locations, chart of accounts) and Transactions (financial activity for a date range you specify). |
You can manage invoices and payments from this central section or from an individual customer’s Billing tab. Both give you the same capabilities. The difference is scope: the root page shows everything across all customers, while the customer’s Billing tab filters to just that customer.
Creating an invoice
You can create an invoice from the Invoices tab by clicking ”+ Create Invoice,” or from a customer’s Billing tab. The form asks for a customer, issue date, payment terms, due date, and a service period (a “from” and “to” date range). The service period filters the invoice to show only the completed work that falls between those two dates. If you leave the service period blank, all completed work that hasn’t been billed yet will be available to include.
Line items on the invoice pull from the customer’s completed jobs for the billing period you selected. Each job shows as a row with the service name, date, location, and amount. If any of those jobs had billable products attached, those appear as line items too. You can also add manual line items if you need to bill for something outside of a completed job.
The invoice calculates subtotal, tax, and total automatically based on the customer’s tax configuration. There’s an optional Invoice Notes field at the bottom for anything you want the customer to see on the document.
When you’re done, you can save the invoice as a Draft (to review or edit later) or Save and Issue it right away.
Invoice statuses
| Status | What it means |
|---|---|
| Draft | The invoice has been created but not yet issued to the customer. You can still edit it freely. |
| Issued | The invoice is finalized and ready to accept payment. |
| Partial Payment | The customer has paid some but not all of the invoice amount. |
| Paid | The invoice is fully paid. |
| Overdue | The due date has passed and the full amount hasn’t been received. |
| Voided | The invoice has been canceled. If the invoice had any payments recorded against it, Loma will prompt you to issue a refund as part of the voiding process. |
Once an invoice is issued, you can send it to the customer, send a reminder, record a payment, void it, or download it as a PDF. All of these actions are available from the invoice detail view.
