Billing Settings
Every customer has a Billing tab on their detail page with three sections: Invoices, Billing Settings, and Discounts. This article covers the Billing Settings section, where you control how each customer is billed.
Billing mode
Billing mode determines how invoices are grouped across a customer’s locations:

| Central Billing | The default. All locations are billed together to a single billing contact. One invoice covers all locations. |
| Individual Billing | Each location gets its own invoices and can have its own billing contact. Works well when each local manager handles their own payments. |
| Custom Group | Create groups of locations and bill each group as a unit. For example, one invoice per regional division. |
Invoice grouping
Invoice grouping controls how completed work turns into invoices:
| Grouping | How it works |
|---|---|
| Individual | Every completed service generates its own invoice. |
| Time-Based | Groups services by a number of days you choose (e.g., one invoice every 30 days). |
| Amount-Based | Groups services until the unbilled total reaches a minimum dollar amount you set. |
Payment terms
You can set payment terms per customer: COD (Cash on Delivery), Net 30, Net 60, Net 90, or Custom Terms. The company-wide default is Net 30, but you can override it for any customer.
Tax configuration
Each customer inherits your company’s default tax rate (set in Settings > Tax). On the customer’s Billing tab, you can override the rate for that customer, mark them as tax exempt, or set location-specific tax rates that override the customer-level rate for individual locations.
Invoice delivery and automation
You can choose how invoices are delivered to each customer: Email, Paper, or Email & Paper. There are also two automation toggles:
- Auto-Create Invoices automatically generates invoices based on the customer’s grouping rules.
- Auto-Send Invoices automatically emails invoices to the customer as soon as they’re created.
Both are off by default, giving you manual control until you’re ready to automate.
Billing contact
Each customer has a billing contact: the person (and address) that invoices are sent to. For Central Billing customers, this is one contact for all locations. For Individual Billing customers, each location can have its own billing contact.
Special requirements
Some commercial customers have specific billing requirements. The Billing Settings panel includes fields for:
- Payment Portal URL if the customer requires you to submit invoices through their own vendor portal
- Vendor Number the ID the customer has assigned to your business
- Require PO Number toggle if the customer requires a purchase order number on every invoice
