Recording payments

There are a few ways payments come in.

From the office. Open any issued invoice and click “Record Payment” to log a payment by card, ACH, check, money order, or cash. If your Stripe account is connected, card and ACH payments are processed electronically. Check, money order, and cash payments are recorded manually.

From the field. Technicians can accept payments directly from customers at the time of service. This is especially relevant for COD customers, but any customer can make a payment to a technician, whether it’s for that day’s service or a previous balance.

Cash on Delivery (COD)

COD is enabled by default for your account. When a customer is set to COD payment terms, your technician is prompted to walk the customer through the payment process when the job is completed. If the customer can pay, the payment is recorded on the spot. If the customer is unable to pay at that time, Loma creates an invoice for the work that’s due that day but doesn’t record a payment against it.

Even customers who aren’t on COD can make payments to a technician in the field. COD simply controls whether the technician is prompted to collect at the end of each visit.

The Transactions tab

The Transactions tab in Invoices & Transactions logs every financial event: payments received, refunds issued, and credits applied. Each entry shows the transaction ID, date, customer, type, amount, and payment method. Think of it as the running ledger of money in and money out.

Cash reconciliation

If your technicians collect cash payments in the field, the Cash Reconciliation tab helps you keep that money accounted for. You set a cash float (the starting amount of cash a technician carries for making change), and as technicians collect payments throughout the day, those amounts are logged. At the end of the day, you reconcile the cash on hand against the expected total: the float plus collections minus any change made.

Company-wide payment settings

Your global payment settings live in Settings > Payments. This is where you connect your Stripe account (required for processing card and ACH payments), set company-wide defaults for payment terms, configure late fees, and set up failed payment retry logic. These settings apply as the baseline for all customers unless overridden on a per-customer basis.
