Getting Started

What is Loma?

Loma is a field route management platform built for commercial and residential recurring service providers. If your core business is scheduled, recurring services (cleaning, landscaping, pest control, pool maintenance, or anything similar), Loma gives you one place to manage your customers, schedule services, build routes, dispatch technicians, complete jobs, and handle invoicing.

While Loma is designed around recurring work, it also supports one-time jobs for businesses that occasionally take on non-recurring projects.

How Loma is organized

Loma is built around a daily workflow that moves from managing your customer base to getting work done in the field to getting paid. The main areas of the platform are:

AreaWhat it does
DashboardYour home base. Shows what needs attention (late jobs, unrouted jobs, overdue invoices) and provides quick actions for creating leads, customers, jobs, services, and payments.
FieldThe technician’s working view. See the daily schedule, start and complete jobs, and track progress throughout the day.
LeadsTrack potential customers before they commit to service. Convert leads into full customer records when they’re ready.
CustomersManage your active customer base. Each customer has a detail page with locations, contacts, services, jobs, quotes, billing, and notes.
JobsMaster list of all scheduled, in-progress, and completed work. Search and filter by status, technician, or date.
Routes & SchedulingManage geographic routes, assign technicians to territories, and view your schedule as a calendar or on a map.
Invoices & TransactionsEverything related to getting paid: invoices, payments, credit/debit memos, cash reconciliation, and accounting exports for QuickBooks or Xero.
CommunicationsAutomated customer notifications for job completions, service reminders, and payment reminders.
SettingsCompany profile, service templates, product catalog, users and permissions, payment processing, tax rates, and communication channels.

Two types of users

Loma supports two broad categories of users:

  • Office and admin staff manage the business from the full web application: scheduling, billing, customer management, and reporting.
  • Field technicians primarily use the Field view to see their assigned jobs for the day, navigate to job sites, and mark work as complete.

Ready to go out of the box

Loma is designed to get you working as quickly as possible. When your company is created, the platform comes pre-configured with sensible defaults so you don’t have to spend time in Settings before you can start managing your business.

Here’s what’s already set up for you on day one:

  • A default route is created automatically. All new customer locations are assigned to this route until you create additional routes for your service areas. You can rename the default route at any time.

  • A default service template is included so you can start creating jobs and recurring services right away. You can customize it or create additional templates in Settings as your needs evolve.

  • Payment terms are pre-configured. New companies start with Net 30 invoicing, no automatic invoicing, no automatic sending, and no late fees. Payment collection on delivery (COD) is enabled, which means your technicians can accept payment when they complete a job. Cash and check payments work immediately. If you want to accept credit cards or ACH payments, you’ll need to connect Stripe in Settings > Payments.

  • New customers inherit your company’s payment settings. When you create a customer, they automatically receive your default payment terms and billing configuration, so you can start invoicing without any additional setup.

  • Every customer starts with a central billing group. This means all of a customer’s locations are billed together by default. You can change this to per-location billing if needed.

  • Numbering is automatic. Invoices start at INV-0001 and count up sequentially. Memos follow the same pattern starting at MEM-0001, and transactions start at TXN-0001. Customer IDs and job IDs use a randomized format for privacy (so no one can guess the size of your business from a customer number).

  • Five user roles are pre-built. The first user on the account receives the Owner role with full system access. You can invite team members as Technicians, Sales, Office, Admin, or Owner, and each role comes with clearly defined permissions. Sensitive actions like issuing refunds, managing billing, and exporting data require additional exclusive permissions that must be granted individually.

  • User notifications work immediately. Loma sends notifications to you and your team members out of the box, both in the app and via email. You’ll receive real-time alerts when things need your attention, like a job running more than 30 minutes late. No configuration required.

  • Customer notification templates are ready and waiting. Loma includes pre-built templates for sending your customers job completion notices, service reminders, payment reminders, and more. These are dormant until you verify your email domain (and optionally configure SMS) in Settings > Communications, but once you do, they work automatically.

  • Tax collection defaults to origin-based. You can switch to destination-based if your jurisdiction requires it. You will need to enter your own sales tax rate since this varies by location.

  • Chart of accounts includes three default accounts: Service Revenue (4000), Product Sales (4500), and Uncategorized Income (4999). These are used when exporting data to accounting software like QuickBooks or Xero.

  • Branding falls back gracefully. Customer-facing materials like invoices and quotes default to black as the accent color. If you haven’t uploaded a logo, your company name is used instead. You can customize both at any time in Settings.

  • Your time zone is detected automatically from the address you enter for your business. You can change it manually if needed.

What you’ll want to configure

Most of the platform works without any setup, but there are a few things you’ll want to configure before you’re fully up and running:

Sales tax rate

Loma doesn’t set a default rate because it varies by jurisdiction. Head to Settings > Tax to enter your rate.

Product catalog

If your services involve products (cleaning supplies, materials, parts), you can add them in Settings > Products. This is entirely optional and only needed if you want to track product usage and costs on jobs and invoices.

Stripe connection

If you want to accept credit card or ACH payments through the platform, connect your Stripe account in Settings > Payments.

Email and SMS

To send automated notifications to your customers (job reminders, invoices, payment receipts), you’ll need to verify your email domain in Settings > Communications. SMS is optional and configured in the same section.

Even without configuring any of the above, you can add customers, schedule jobs, build routes, and start dispatching your team today.
